Senior Downsizing Moving Checklist for Southwest Florida Residents

Home / Single Service

Downsizing is mostly a sequence of small decisions, and the reason it feels overwhelming is that people try to make them all at once. Spread across three months, with a plan for each stretch, it becomes ordinary work.

This is a practical checklist for seniors and families downsizing in Naples, Bonita Springs, Marco Island and Estero — what to do and roughly when, plus what to do with the things that do not fit in the new place.

Before anything else, measure the new place

Almost every difficult downsizing move has the same root cause: nobody measured. Get the room dimensions of the new home, and the doorway and hallway widths, before a single box is packed.

Then measure the furniture you assume is coming — the sofa, the dining table, the bedroom set, the china cabinet. Deciding on paper that the hutch does not fit is a five-minute conversation. Discovering it on moving day, with the truck loaded, is not.

A twelve-week downsizing checklist

Professional movers providing white-glove services in Naples, illustrating careful handling of senior belongings.

Twelve weeks out

  1. Confirm the move date and the new address.
  2. Measure the new rooms, doorways and hallways.
  3. Walk through the current home room by room and note what is definitely coming.
  4. Book a mover and get a written estimate from someone who has seen the contents in person.
  5. Decide whether anything needs storage in between, and for roughly how long.

Eight weeks out

  1. Start sorting in the low-emotion rooms first — garage, laundry room, guest room, linen closets.
  2. Gather important documents into one place: deeds, titles, insurance, medical records, wills, financial paperwork.
  3. Arrange donation pickups or an estate sale for anything not coming, and get those dates on the calendar.
  4. Flag anything fragile or oversized that will need crating — artwork, mirrors, a piano, a curio cabinet.
  5. Tell family which pieces are going to whom, and how those pieces are getting there.

Four weeks out

  1. Move to the harder rooms: bedroom, study, photographs, keepsakes.
  2. File change of address with USPS, and update the bank, insurance, pharmacy and doctors.
  3. Schedule utility shut-off at the old address and turn-on at the new one, with the new one starting a day early.
  4. Confirm the mover, the date, the arrival window and where the truck can park at both ends.
  5. If a community or building is involved, reserve the elevator or service entrance and check its moving hours.

The week of the move

  1. Pack one clearly marked essentials box: medications, phone chargers, glasses, a change of clothes, toiletries, and the documents folder.
  2. Keep that box with you rather than on the truck.
  3. Set aside anything that must not be packed — jewelry, cash, keys, small valuables.
  4. Make a simple plan for pets and for anyone who should not be in the house during the loading.
  5. Decide who will be on site to answer questions, at both the old address and the new one.

The four-box method for deciding what goes

When a room stalls, this is usually why: everything is being judged against “might I want this someday.” Swap in four categories instead, and handle every item once.

  • Coming with me — it fits, and it earns its space.
  • Going to family — and it is only this if a specific person has said yes to a specific item.
  • Donate or sell — useful, just not to you any more.
  • Undecided — and this box is allowed to exist, which is the point.

The undecided box is what keeps the process moving. Anything genuinely hard to call goes there and comes back later, rather than stopping the room. If it is still undecided at the end, it can go into storage for a few months while the new place gets lived in.

What to do with what does not fit

Neatly organized climate-controlled storage facility, ideal for preserving seniors' valuable items during downsizing.

Storage is the honest answer for most downsizing moves, because a lot of decisions get much easier once the new home is furnished and it is clear what is actually needed.

Ours is warehouse storage, not a self-storage rental. Belongings are inventoried, wrapped and stored by our staff inside our climate-controlled warehouse — there are no units, keys or gate codes, and no drive-up access. When you are ready for something, we schedule a delivery and bring it to you.

Climate control matters in this part of Florida. Humidity is hard on wood furniture, upholstery, photographs, artwork and paper documents, and a summer in an uncontrolled space can do damage that only shows up much later.

One thing to plan for separately: we move and store belongings, but we do not sell or dispose of them. Donation and estate-sale arrangements are handled by the family, and we work around whatever dates those set.

Where to get help with the harder parts

Hilton Moving and Storage handles senior moving and downsizing throughout Southwest Florida. In practice the parts families most often hand over are full packing and unpacking, custom crating for fragile or oversized pieces through our white-glove service, and storage in between.

If a move crosses state lines — a child’s house in another state, or a second home — we are an interstate agent for Bekins Van Lines, so the long-distance leg runs on the same inventory and paperwork as the local one.

If you are working through a whole household rather than one person’s belongings, our guide to estate moves in Southwest Florida covers that side of it.

Downsizing is worth starting earlier than feels necessary. Families who give themselves twelve weeks almost never wish they had rushed. If you want to talk through your own timeline, get in touch and we will walk you through it.
